Job Description
Job Title: Administrative Assistant: Information and Communication Technology
Unit: Information and Communication Technology (ICT)
Salary Level: 5 Notch 3 (Basic Salary R 222,957 pa)
Reference Number: CS/01/03
Requirements:
Education: NSC, NC(V) Level 4, NSC (Colleges), SC, SC (Amended), or an equivalent NQF Level 4 certificate with language(s).
Experience:
Experience in administration, preferably in an educational environment.
Proficient communication skills (written and verbal) and strong computer skills.
Ability to plan and organize research projects, seminars, and workshops.
Additional Skillsets:
Ability to work independently as well as part of a team.
A post-matric certificate in IT/ICT or equivalent (IT/ICT courses) is advantageous.
Knowledge of essential office management principles and practices.
Excellent administrative and organizational skills with extensive knowledge of Microsoft Office Suite.
Ability to interpret ICT-related policies.
Possession of ICT industry certification is an added advantage.
Main Duties:
Assist in planning workshops, user training, projects, and meetings.
Support the implementation of the sub-unit’s operational plan.
Manage logistical arrangements for sub-unit activities.
Establish and maintain an effective filing system and handle office administration.
Capture and track claims for Council sub-committee on ICT members and submit to the Finance Unit.
Prepare travel arrangements and liaise with travel agencies for bookings in line with policies.
Draft submissions, letters, and memoranda for management’s consideration and signature.
Monitor and track budgets for each activity of the sub-unit.
Manage the database of ICT service providers, take minutes of meetings, and distribute them to relevant parties.
Ensure proper maintenance of electronic and hard copy files according to record policies.
Manage the flow of documentation in and out of the ICT office.
Provide first-line support to internal customers for hardware, software, network, and communication issues.
Ensure support calls are logged and administered using appropriate service desk software.
Assist with administration related to user accounts, password creation, email accounts, and security access for staff.
