Requirements

Purpose of Job

The Clerk is responsible for providing essential administrative support to an allocated team, enhancing administrative efficiency in day-to-day operations.


Key Accountabilities
  • Respond to inquiries, schedule appointments, and develop presentations to support office functions.

  • Organize and attend meetings, accurately taking minutes and maintaining notes.

  • Book rooms and conference facilities, maintaining scheduling and event calendars.

  • Coordinate travel arrangements for team members.

  • Plan and execute in-house and external conference functions and events.

  • Order and manage stationery and office supplies.

  • Oversee office appointments and provide comprehensive office administration and support.

  • Mail documents, newsletters, and other communications as required.

  • Prepare and type documents, letters, and reports, ensuring compliance with company procedures.

  • Implement and coordinate office procedures, including organizing and storing paperwork and documents.

  • Photocopy and print various documents and assist colleagues as needed.

  • Complete forms according to company procedures and manage incoming correspondence.

  • Sort, file, and cross-reference materials and documents effectively.

  • Utilize and manipulate data for management reports sourced from various internal and external systems.

  • Maintain both hard copy and electronic filing systems, managing a variety of records.

  • Handle mail distribution, file retrieval, and document copying.

  • Attach relevant files to incoming correspondence requiring replies and adhere to agreed service level agreements.

  • Liaise with colleagues and external contacts to book travel and accommodation.

  • Answer telephones, provide information to callers, and transfer calls as necessary.

  • Greet and assist visitors, clients, and staff, directing inquiries appropriately.

  • Communicate with internal and external clients effectively.

  • Monitor expenditures, keeping accurate records within the department for management.

  • Organize, maintain, and post records, completing invoicing as required.

  • Control stock levels of stationery and office supplies.


Formal Education
  • National Senior Certificate or N3

Working Experience
  • Minimum of 1 year of relevant experience
