Requirements
Key Responsibilities:
Safety, Health, and Environment:
Support a safe and healthy work environment
Adhere to housekeeping principles and environmental compliance requirements
Participate in SLAMs, HPHs, risk assessments, and close-out safety actions
Performance and Delivery:
Coordinate assessment bookings, scheduling, and talent management logistics
Liaise with service providers for service delivery, invoicing, and payments
Facilitate departmental budget tracking and third-party payment processes
Maintain compliance with talent management and assessment standards
Systems Control and Maintenance:
Manage document systems and update manual/electronic records to ensure data accuracy
Ensure compliance with HPCSA, POPI, and GDPR regulations
Contribute to continuous improvement initiatives by reviewing and developing system documentation
Administrative Support:
Collect and manage information for meetings, presentations, and correspondence
Handle filing, record-keeping, scheduling, and follow-ups to meet operational needs
Customer Services:
Resolve queries promptly and provide timely feedback to ensure customer satisfaction
Process orders and follow up to ensure timely distribution
Financial Support Services:
Assist with cost centre financial performance analysis and budget preparation
Monitor departmental spending and advise management of budget deviations
Compliance:
Adhere to legal, ethical, and company-specific policies and procedures
Report discrepancies or unlawful practices in the IPS field
Support the Talent and Capability department in maintaining professional standards
Requirements:
Grade 12
Secretarial/Office Management Qualification (NQF4)
Valid SA Driver's License (Code B)
3-5 years of relevant experience in administration and compliance
Knowledge of scheduling logistics for psychological assessments and talent management
Familiarity with budgeting, invoicing, and procurement processes
Understanding of compliance requirements for talent management and assessment
