Requirements

Minimum Requirements:

  • Education: High school diploma or equivalent (Matric).

  • Experience: Previous experience in a customer service, receptionist, or administrative role. Experience in an optometry, medical, or retail environment is advantageous.

  • Skills:

    • Excellent communication and interpersonal skills.

    • Strong organizational and multitasking abilities.

    • Proficiency in computer systems and appointment scheduling software.

    • Customer-focused mindset with a professional and friendly demeanor.

    • Ability to work efficiently in a fast-paced environment.

    • Attention to detail and accuracy in handling patient information.


Additional Requirements:

  • Availability to work flexible hours, including weekends if required.

  • Knowledge of optical products and medical aid procedures is advantageous.

  • A proactive attitude and willingness to learn.


Duties and Responsibilities:

  1. Patient Reception & Customer Service:

    • Greet and welcome patients.

    • Assist patients with check-ins and ensure they are comfortable while waiting.

    • Handle patient inquiries.

  2. Appointment Scheduling & Management:

    • Manage patient appointments.

    • Confirm and remind patients of their appointments.

    • Coordinate rescheduling and cancellations.

  3. Administrative Support:

    • Maintain and update patient records accurately.

    • Assist with insurance verification and processing claims.

    • Handle general office tasks.

  4. Optical Product Assistance:

    • Assist patients in selecting eyewear.

    • Provide information on optical products and services.

    • Manage stock and ensure product displays are tidy.

  5. Billing & Payments:

    • Process payments for services and products.

    • Assist patients with payment inquiries and billing-related issues.

  6. Coordination & Communication:

    • Collaborate with optometrists and staff.

    • Communicate effectively with patients regarding appointments and promotions.

  7. General Practice Support:

    • Maintain a clean and organized front office.

    • Ensure all necessary materials and supplies are stocked.

    • Assist with any other duties as needed.
