Job Description
Main Purpose of the Job:
The Receptionist is responsible for warmly welcoming clients and efficiently managing switchboard operations, ensuring a friendly and professional interaction at all times.
Key Responsibilities:
Telephone Management: Answer telephones promptly in a courteous and professional manner.
Client Reception: Greet and assist clients with a friendly and professional demeanor.
Administrative Support: Perform additional divisional tasks as assigned, ensuring these do not interfere with primary reception and telephone duties.
Compliance: Adhere to all quality and safety standards within the SGS management system.
Task Management: Complete any reasonable tasks assigned by the direct line manager.
Room Coordination: Coordinate with cleaning staff and manage bookings for boardrooms and training sessions.
Reception Area Maintenance: Maintain the cleanliness and organization of the reception area.
Specific Authorities:
Safety Protocols: Halt the use of any equipment posing a safety hazard or entry into hazardous environments without proper knowledge and protection—report such situations to higher management.
Quality Assurance: Stop work that may compromise service quality (integrity) and report any issues to supervisory staff.
Improvement Initiatives: Initiate formal requests for improvements when deviations, possible enhancements, or nonconformities are identified.
Qualifications:
Education:
Minimum requirement: Grade 12.
Experience:
At least 1 year of experience in a reception or administrative role.
Competencies:
Strong telephone etiquette skills (preferred).
Excellent interpersonal and communication skills.
High sense of urgency and ability to prioritize tasks.
Friendly demeanor and professional attitude.
